Who this policy covers

This policy explains how Hoop Geeks Youth Development Inc. handles information collected through this website and its staff management tools. It covers visitors, families, event participants, volunteers, partners, and donors. Separate platforms, including Instagram and BAND, have their own privacy policies.

Our website forms are intended for adults, including parents and guardians acting for young athletes. Children should ask a parent or guardian to contact us rather than submit personal information themselves.

Information we collect

  • Messages and inquiries: your name, email address, subject, message, and any contact details you choose to include.
  • Program interest: guardian and athlete names, guardian contact information, school level, program interests, and information provided in the form.
  • Events: registration contact details, the selected event, participant information supplied in the form, and registration status.
  • Staff-managed rosters: athlete and guardian details, team assignment, jersey number, position, eligibility checks, and publication permissions recorded by staff.
  • Donations: donor name or anonymous preference, email, optional message, amount, date, payment references, and payment or refund status. See our donor privacy policy.
  • Technical information: session information and request data used to operate the site and limit abuse. Hosting or payment providers may also process connection, device, and security information.

Do not upload or include medical records, report cards, Social Security numbers, payment card details, or other sensitive documents in general website forms or messages. Staff will explain any separate process for required participation documents.

How we use information

We use information to respond to messages, follow up on program interest, administer events and teams, record participation requirements, process donations and refunds, maintain financial records, and protect the website against misuse. Authorized staff use the information relevant to these activities.

Submitting an inquiry or making a donation does not automatically enroll you in a marketing mailing list. The website does not include advertising trackers, and we do not sell or rent personal information collected through it.

Young people & public rosters

Parents or guardians should manage submissions about minor athletes. The public roster displays only an approved display name, jersey number, and basketball position when staff have recorded publication permission. Guardian contact details and private eligibility checks are not displayed on public rosters.

Contact hoopgeeks24@gmail.com to request review, correction, or removal of a child’s information or to withdraw public roster permission. We may need to verify your relationship to the child. If you believe a child submitted information directly without appropriate guardian involvement, tell us so we can review and address it. Website form consent is not a blanket photo or media release.

Sharing & service providers

Information may be handled by authorized staff and providers supporting hosting, payment processing, and website maintenance where access is needed to provide those services. Stripe processes payment details in its own secure fields; full card numbers and card security codes are not stored in the website database. See Stripe’s privacy policy.

We may disclose information when legally required, to respond to a valid legal process, or as reasonably necessary to address fraud, threats, or misuse. We do not publish contact form messages, guardian contact information, or the donor ledger.

Cookies & outside services

The staff area uses an essential session cookie to keep authorized users signed in. Stripe’s payment form may use cookies and similar technologies for payment functionality and fraud prevention. Blocking necessary cookies or scripts may prevent staff login or payment features from working.

This website does not currently use advertising cookies or a third-party analytics service. Following social links takes you to an outside service. If a page loads externally hosted media, your browser may send connection information to that provider. Those services control their own information practices.

Retention & security

Records are kept according to their operational, financial, and legal purpose. Retention can vary for an unanswered inquiry, an active athlete record, and a completed payment. Records are not automatically erased when a season ends or a request is submitted. Staff review deletion requests against current needs and applicable recordkeeping obligations.

The site restricts staff access and uses security controls for sessions and payments. No online service can guarantee complete security. Avoid putting unnecessary sensitive information in a message and keep private receipt links confidential.

Your choices & contacting us

Contact hoopgeeks24@gmail.com to ask about information held about you, request a correction or deletion, or raise a privacy concern. Identify the form, event, team, or donation involved without sending sensitive documents. We may verify identity before disclosing or changing records. Some records may need to be retained for financial, legal, security, or ongoing program purposes, and we will explain relevant limitations.

If information practices change, this policy and its update date will be revised. Any additional privacy rights provided by applicable law remain available to you.
